Event planning & preparation: Helpful tips for a successful conference
Preparation is key! This also applies to conferences. Successful meetings can only be achieved with good advance organization. We'll give you tips for preparation and planning so nothing stands in the way of a successful conference!
What is important for a successful conference?
Tip #1: Plan early!
Timing is important! The bigger the event, the earlier you should start planning. Starting the organization early also means you'll have enough buffer time at the end if something goes wrong. But don't worry, we won't let you down when it comes to planning: We'll help!
Tip #2: Every conference needs a goal!
What is the goal of the conference? You should determine this in advance, as this is the only way to ensure a successful conference. Once the goal is set, you can plan the conference accordingly. The best approach is to follow the KISS method: Keep It Simple and Stupid!
Tip #3: The event stands or falls with the location!
The most important thing: the location. The room size should definitely be adapted to the number of participants—better too large than too small. A little open space can be ideal for breaks. Have you found a suitable conference room? Then you should clarify these questions: What seating arrangement is best suited for the event? What type of catering will be provided? We can also assist you with this and help you with the planning.
Tip #4: Don’t plan too tightly!
The schedule should include sufficient breaks and be generous. Delays usually occur during presentations and interactive elements of the conference. Therefore, it's better to work with buffer times here as well. You should also put together a diverse program to captivate participants and avoid boring them.
Tip #5: The supporting program: The icing on the cake!
A conference is meant to advance business, but it also means there should be some fun among colleagues! Joint events foster greater team spirit and cohesion within the group, which ultimately also impacts collaboration. Therefore, entertainment should definitely be included in the program. We're happy to advise you on this.
Tip #6: After the conference is before the conference!
The conference may be over, but that's not all. Now you can start the follow-up. Get feedback from the participants. What went particularly well at the conference or team event? And what could you improve in your planning? It's also important to do a post-conference costing to see if the allocated budget was sufficient. And, of course, the most important thing: Was the conference goal achieved?
